MISSION

The Metropolitan Surgery Center serves a private patient clientele. Its priority is to ensure a high level of quality care and services while meeting the highest standards of health service continuity and safety. Its main focus is gender-affirming surgeries, but it also performs elective and reconstructive cosmetic surgeries, laparoscopic bariatric surgeries, urological surgeries, and ear, nose, and throat surgeries. In addition, the CMC provides the necessary care for these surgeries through its pre- and post-operative clinic, care units, and competent staff who are attentive to the needs of patients.

GENERAL JOB DESCRIPTION

The Administrative Agent provides constant support to the GrS office and its clientele. This person is responsible for opening and following up on patient files. The tasks require technical knowledge, a high level of confidentiality, and close collaboration with teams to carry out various assignments. A well-developed approach to handling patients via email and phone is essential at all times. Teamwork and sharing information while respecting confidentiality standards are required at all times..

 

DETAILED JOB DESCRIPTION

  • Open new patient files in Medesync;
  • Create electronic and paper files;
  • Processing, scanning, printing, and filing documents received daily via fax, mail, and email;
  • Responding to emails from the infoGrs inbox and correspondence emails;
  • Process, scan, print and file the documents received by email daily;
  • Providing telephone support to patients;
  • Returning calls within 24-48 hours;
  • Replacing reception colleagues during absences, illness, or lunch breaks when necessary;
  • Maintaining the waiting list;
  • Following up on missing documents in patient files;
  • Monitoring files that have been open for more than three months;
  • Sending information packages to new patients;
  • Scanning surgical justification forms;
  • Ensuring patient files are complete and compliant before submitting them to the preoperative team;
  • Verifying returned packages via mail;
  • Performing any other related tasks requested by the immediate supervisor.

REQUIREMENTS

  • Minimum of one year of experience in a similar role
  • Experience in the medical field - an asset-
  • Perfect bilingualism, both written and spoken (French and English)
  • Proficiency in Microsoft Office Suite
